Office Policies

The following policies apply to all services rendered by Outside the Mat LLC and its Therapists.

Section Title

Illness Policy

______ Client will not come to an appointment if they currently have or have had in the last 48 hours: fever (classified as 100.4 degrees Fahrenheit or greater), vomiting, non-IBS/IBD-related diarrhea, or any other active disease state. 

The Client will notify the Business as soon as possible that they need to cancel their appointment. Illness within the normal 24-hour Cancellation Policy window will not incur a penalty as long as the Business is informed a minimum of 3 hours before the appointment time. If the Business is informed at least 3 hours before the appointment time, the Client will retain the credit for the session on their account. If the Business is notified within the 3-hour window, a $10 fee will be processed in order to maintain the credit for the session. If the Business is not informed of illness and the Client does not arrive, the credit will be forfeit. 

 

______ For the safety of its employees, the Business has the right to refuse service if the Client appears ill. Credit for the session will be retained or forfeit at the Business’s discretion.

 

Sobriety Policy

______ No session will be conducted if the Client has imbibed alcohol, marijuana, or any other mind-altering drug (legal or illegal) within 8 hours prior to the session. If the Client arrives under the influence, the Business has the right to refuse service and the Client’s credit for the session will be forfeit.  

 

Cancellation Policy

______ Appointment must be canceled a minimum of 24 hours in advance in order to retain the credit for the session. Appointments canceled within the 24-hour window but a minimum of 3 hours before the appointment are subject to a $25 fee in order to retain the session on the Client’s account. Credit for appointments canceled within the 3 hour window or not attended are forfeit. In case of illness, see Illness Policy above. 

 

______ In case of medical or family emergency, the Client will make every attempt to notify the Business in advance of the appointment. A one-time exception to the Cancellation Policy will be afforded the Client in these situations.

 

______ In case of local or national emergency affecting the Client but not the Business (ie. the Business is still operational) any late cancellation fees will be waived and credit for the session will be maintained.

 

Arrival and Departure Policy

______ The Client may arrive no more than 5 minutes before their scheduled appointment time and shall leave the premises no more than 10 minutes after the scheduled ending of their appointment time.

 

______ The Client may not talk on a cellular device in the waiting room or treatment room. 

 

______ If the Client is running late to the scheduled appointment time, they will do their best to let the Business know. If the Client has not arrived by 15 minutes after the scheduled start time of the appointment, the appointment will be considered a late cancellation and the credit for the session will be forfeit. No session will be started 15 minutes or more after the scheduled start time. 

 

Inclement Weather Policy

______ Clients are asked to give as much advance notice of need to cancel due to inclement weather as possible. Should inclement weather occur that is bad enough for the local school district (District 11) to be closed, the Business will waive the Cancellation Policy for the day and all Clients booked that day will retain the credit for any sessions canceled. If the school district is not closed, it is at the Business’s discretion if the Cancellation Policy will be maintained for the day. If inclement weather forces the Business to close, Clients will be given as much advance notice as possible, with no less than 1 hour notice. 

 

Walk-In Policy

______ No walk-ins are accepted. Appointments must be booked in advance. If the Client has an urgent need for an appointment, they may text the Business line and the Business will do their best to meet the need within Office Hours. 

 

Payment Policy

______ It is preferred that payment is received when the appointment is booked and approved. Payment may be for a single session or multiple sessions. Payment may be made by credit card, or when booking in person, in cash (exact change required). Electronic forms of payment (including ApplePay,Venmo, PayPal, etc) are not accepted. The Client’s card will be stored on file and any late cancellation fees incurred will be charged to this card.

 

Refund Policy

______ No refunds will be given unless an extreme change in medical circumstances has occurred that completely contraindicates all forms of massage offered by the Business for a period of 18 months or more or military orders for a permanent change of station have been received and the Client could not reasonably use their remaining sessions before departure. In these two cases, a partial refund may be given at the Business’s discretion. 

 

Expiration Policy

______ Sessions and session packs will expire 12 months after the date of purchase. Any unused sessions will be forfeit after the expiration date. At the Business’s discretion, a one-time extension may be granted for medical reasons if documentation from a credible physician or holistic practitioner is provided stating that all modalities of massage offered by the Business were contraindicated for a period of a month or more during the pre-expiration period. In case of military orders for deployment or temporary duty station (TDY), an extension will be given at the Business’s discretion.

 

Sexual Harassment Policy

_____ Sexual harassment of any kind will not be tolerated by the Business. This includes, but is not limited to: intentional exposure of erogenous zones by either party, intentional touch of Therapist by Client, inappropriate touch of Client by Therapist in an erogenous zone, and intentional sexual advances (verbal or physical) by either party. Sexual harassment may lead to termination of session and of any future sessions and may lead to involvement of law enforcement if the Business deems necessary. 

 

Draping Policy

______ Some modalities offered require the use of direct contact with skin, in which case, the Client will be intentionally draped. Only the body part(s) being addressed will be undraped. Arms and feet may be kept out of the drape if the Client requests, but all other parts must remain covered when not being addressed. Genitalia and breast tissue of any gender will never be undraped. The Client may request some areas never be undraped and the Therapist is required to respect this request. Any intentional exposure of the Client to the Therapist will result in immediate termination of the session, loss of session credit, potential termination of any future services with no refund of purchased sessions, and may warrant reporting by the Business to law enforcement. 

 

Tipping and Gifting Policy

______ The Business and associated Therapists do not accept tips. 

 

______ The Business and associated Therapists do not accept gifts larger than $50 value and cannot accept more than 2 gifts from the Client within a calendar year.

 

Right to Refuse Service

______ The Business maintains the right to refuse service and/or terminate the session and/or relationship with the Client for any just and reasonable cause, including but not limited to: situations regarding the health or physical safety of the client; single or repeated transgressions against any of these Office Policies. If the relationship is terminated for infringement of Office Policies, refund will be at the Business’s discretion.
